We are recruiting for a Co-working Administrator & Community Assistant with excellent personal, admin and communications skills to join the Health Foundry - a collaborative workspace for people using digital technologies to improve health and wellbeing. You’ll be in charge of delivering on the key frontline responsibilities of the business, making the workspace a lovely and collaborative place to work, communicating what we and our members are up to, managing events and supporting on day-to-day administration.

Health Foundry is an exciting new venture powered by the Guy’s & St. Thomas’ Charity in Waterloo. Launched in September 2016, the space currently supports over 175 members working in digital health and related sectors.

You’ll be joining a small but dedicated team of five people and will be in charge of members’ and guests’ everyday experience as well as making the co-working space a lovely place to work, learn and visit.

More specifically you will be in charge of the following:

Frontline hosting:

Be in charge of the front-of-house experience of members and guests Respond to enquiries in person, by telephone and by email swiftly Give regular tours of the space to prospective members Welcome new members & carry out one-on-one inductions Open and close the space at the specified opening and closing times Event booking, management and hosting:

Respond to booking queries and manage bookings for meeting and event spaces, including setting up, hosting and welcoming attendees Ensure all invoicing is settled Keep all meeting room information up to date on all online sites, and physical material in the space Host events in the space Membership and financial administration:

Set up and manage membership accounts Raise and process invoices in a timely manner Day-to-day bookkeeping and reconciliation of bank statements and petty cash Debt chasing Marketing and communications:

Maintain and update the Health Foundry website Compose and issue regular Health Foundry newsletters (4 per month minimum) Post opportunities for members on Slack Showcase our members and their achievements in physical space and online Use social media to market Health Foundry services, events and member portfolio Space and supplies management:

Ensure that the co-working space is kept nice and tidy Ensure that the cleaners are doing a thorough job Ensure that the space adheres to the Health & Safety and security guidelines Ensure that members are kept updated on all space and operational matters Manage the daily supply of stationery, kitchen items, event items etc. Standard working hours will be Monday to Friday from 9 AM to 6 PM with an hour’s lunch break.

The job is a demanding one, but one that has the opportunity for you to grow your skills and expertise quickly. The role has a lot of autonomy, so we need someone that is a self-starter and has great initiative.

We are looking for:

A proactive and diligent individual with an eye for detail and a passion for customer service. A diverse profile: a people person, admin ninja, comms wiz and an all-round doer. A self starter with ability to work unsupervised. A high level of tech and IT proficiency, including experience in using CRMs, website CMSs, bookkeeping systems and other back-end systems. At least 2 years of relevant professional work experience. Benefits

An exciting role in a dynamic fast-paced environment. Initial 1 year contract with the possibility for extension if funding is secured. 20 days holiday plus 8 bank holidays per year.
