SHEQ EXECUTIVE

Harrow on the Hill

A SHEQ Executive is responsible for looking after Health and Safety, Environment and Quality areas. This includes managing waste data records and reporting, organizing and keeping a record of internal and external trainings, document control, office management, perform and control the full internal audit cycle, EDMS management.

* In charge of the control and of the daily management of documents on a Projects and in the Company:

* Numbering & identification of documents

* Quality & compliance checks on documents

* Filing and organisation of documents (both electronic and / or hardcopies)

* Control over documentation modification, distribution, issuance (as per procedure) during its whole lifecycle

* Maintenance of a list (register) of applicable documents

* Distribution of documents to relevant people / organisations

* Progress reporting on the documents status / maintaining KPIs (Key Performance Indicators).

* In charge of Waste Records Management for a Projects:

* Setting up a projects on Smart Waste

* Uploading data for energy, water usage, waste, fuel, material transport

* Filling out clients WDT's and uploading on their EDMS system

* Producing the monthly waste recycling reports

* Setting up waste carriers, suppliers, new users

* Liaising with Waste Carriers in regard to Waste Management Licences, Waste Carrier Certificates, Recycling rates, monthly waste reports.

* QA checking Waste Transfer notes and BRE's. Matching Waste transfer note with a waste collection record.

* Internal and External Training Management for employees:

* Handling training requests, contacting commercial team for approval of the costs, organising a training date and location

* Registering certificates on the Training Audit spreadsheet

* Preparing Internal Training Certificates, uploading a copies on Adapt

* Organising Internal Trainer Schedule, distributing to sites

* Archiving certificates

* EDMS Management on the systems listed below:

* Aconex - setting up new user accounts, assigning a project, uploading a documents such as RAMS, H&S Plans, Friday packs, subcontractor weekly reports, distributing waste reports.

* Adapt - uploading certificates and documents, doing a search of requested personnel.

* Field View - setting up a package of subcontractors in order to issue an obstruction notice. Setting up and assigning users to the projects. Producing a reports of obstruction notices. Assisting on solving issues.

* One Drive - grant the access to the folders, uploading/archiving the documents, ensuring all documents are in correct order. Distribution of the documents. Creating and assigning document folders to relevant people.

* Office Management:

* Organising repairs, maintenance checks, leasing with the cleaning company

* In charge of weekly fire test for a building, and annual fire drills

* Ordering stationary, materials

* CW office First Aider and Fire Marshal

* Internal Auditor responsibilities:

* Attending monthly Quality Meetings, reviewing Quality system as per Audit schedule.

* Control the full internal audit cycle

* QA checks

* Other duties:

* Providing a training to the new starter, management and site teams on all of the systems, company processes and procedures.

* Attending the meetings.

* Checking and submitting timesheets when required.

* Perform other duties as per line manager request.
